GP’s All-in-One Views Free Up Valuable Time

Starting with GP 2015 R2, Microsoft added a remarkable new inquiry window tool, the Purchasing All-In-One View. In the latest release, they’ve expanded viewing capabilities to now include a Sales All-In-One View and an Inventory All-In-One View.  These are fantastic, time-saving tools for any GP user.  If you haven’t upgraded yet, this functionality might motivate you to make the jump.

Let’s take a closer look!

In this example, a vendor can be selected so that you can see all of the transactions related to that vendor, grouped by the transaction type.

If you select a transaction, such as a PO in this example, data automatically filters in the other columns to show the transactions related to the selected PO.

If you want to create a filter to look for a particular document, you can easily use the filters above each document type and select the parameters to filter the list on.

The list of invoices then shrinks to meet the filter added to that column.  Note: none of the other columns change based on this filter.

However, as with the example above, if you select one of the invoices remaining in the list, the other columns will filter to only show the related transactions.

 

To clear the filter, you simply need to click here (see below). Note, by default these do have some filters set, and it is recommended to clear all the filters when you initially log into the window to ensure you aren’t missing data.

Each user also has the ability to customize which transaction types are populated in the windows.  For example, if your organization doesn’t use returns, but you would like to see Credit memos, you can check and unchecked the appropriate boxes.

 

The All-In-One Views can help you locate transactions quickly on the purchasing side.  This is a significant benefit as it is now quick and easy to access information when a vendor calls looking for a payment status, or purchasing needs to see what’s happened with a PO.

From a sales perspective, if the sales team needs to know if a Sales Order was billed and/or paid, or a customer wants to confirm how you applied their payment, you can easily apply the exact same concept, but by looking at different transaction types for these scenarios.

 

Or, should your warehouse need a clear picture of inventory movements on a particular item (either within a site or overall), this is easy to do using the Inventory All-in-OneView.
